VOLUNTEER POLICIES, VOLUNTEER JOB DESCRIPTIONS (SPORTS DECAL ORDER INFORMATION)

The volunteer fee is $50.00 per family and per activity. This fee will be collected up front during the registration process for all sports. After the volunteer commitment is satisfied then the Rec Council will return the volunteer fee. The descriptions listed below are eligible for fulfilling Fall Soccer volunteer commitments.

Fox River Grove Rec Council Volunteer Policy Last revision: June 29, 2009 1. Policy Goals: a. Increase parent involvement (encourage parents to volunteer, not to opt out). b. Free up league directors time, to allow them to focus on improving their programs. 2. Volunteer Activity ratings: a. Different activities require different levels of commitment. Therefore, each volunteer activity will be rated, as follows: i. “YEAR” = volunteer is exempt from the $50 volunteer fee for one full year (ie If you are the head coach for Fall soccer, your volunteer commitment has been fulfilled for all seasons until next Fall soccer starts. NOTE – Even though you are considered “exempt” for a year, you will still be charged the $50 volunteer fee each time you sign up for a sport during that year. You will then get your refund during the next reimbursement period) ii. “SEASON” = volunteer is exempt for the current season (ie qualifies for the $50 refund). iii. “HALF” = this activity only qualifies for meeting half of your requirement. Volunteer must complete 2 of these activities to qualify for the $50 refund. 3. Job Descriptions: a. Each volunteer activity will have a written job description, highlighting how many volunteers are needed for that activity, specific dates/times for the activity (if applicable), and as much detail on the steps involved/responsibilities as possible. These job descriptions will be the responsibility of the league directors / volunteer leads, and will be posted on the volunteer page of the FRG rec council website, for everyone to view. They will be reviewed and updated prior to the start of registration for each season. 4. Volunteer activities available at registration, by sport: a. Fall Soccer (includes Fall/Spring soccer combined registration): i. Head soccer coach (Year) ii. Assistant soccer coach (Season) iii. 5k Run (Season and Half positions available) iv. Norge Parking (September tournament) (Season) v. Soccer picture coordinator (Season) vi. Soccer referee coordinator (Season) vii. Soccer trophy coordinator (Season) viii. Soccer uniform and Equipment coordinator (Season) ix. Soccer field scheduler (Season) x. Soccer IYSA coordinator (Season) xi. Soccer League Level Director (Season) xii. Rec Council Board Member (Year) xiii. Fall cleanup day (Season) b. Winter Basketball(still under review): i. Basketball head coach (Year) ii. Basketball assistant coach (Season) iii. Norge parking (January tournament) (Season) iv. Basketball picture coordinator (Season) v. Basketball trophy coordinator (Season) vi. Basketball uniform coordinator (Season) vii. Spring cleanup (Season) viii. March madness (Season) ix. Fall cleanup (Season) c. Spring Soccer: i. Activities to be reviewed and added prior to signup for 2010 Spring soccer. d. Baseball / Softball: i. Activities to be reviewed and added prior to signup for 2010 baseball / softball. e. Additional volunteer activities not available for selection via the website at registration: i. Rec council board (Year) ii. Background check coordinator (Year) iii. Fundraiser coordinator-New rec council position (Year) iv. Marketing coordinator-New rec council position (Year) f. UNFILLED activities: If a volunteer activity goes unfilled, it is the responsibility of the league director to insure that job still gets done. 5. Volunteer Process: a. Parents register their kids on line for a sport, and select a volunteer activity from the corresponding list b. Volunteer data pulled from Demosphere by Registration coordinator (Beth Sorg), and sent to Volunteer coordinator (Greg Schladt). i. Downloads to take place at the close of registration for each sport, and then as required for any late registrants. c. Volunteer coordinator to create master workbook, to allow data to be sorted by sport (for league directors to distribute through coaches to parents), and by volunteer activity (for each volunteer lead). d. Volunteer data to be sent out to all league directors and volunteer leads. e. Volunteer activity leads / league directors to feed back to the volunteer coordinator by the FIRST of each month (or if it is a one time activity, such as Norge parking, as soon as the event finishes), updating their compliance spreadsheets. f. IMPORTANT - Just registering to volunteer does not count towards getting your refund. You must complete the volunteer requirement before you will receive your reimbursement. If you volunteer for an activity that is already filled, you will be notified by the volunteer coordinator and/or activity lead, and allowed to select a different activity. g. Volunteer coordinator to summarize and submit monthly to Registration coordinator, to release volunteer deposits back to those who have fulfilled their obligations. h. Parents who miss their assigned volunteer activity will be given ONE opportunity to complete a new activity during that season, and still qualify for their refund. 6. Future Enhancements: a. Once we reach a point where the number of volunteers exceeds our needs, or as opportunities present themselves, the rec council board will consider expanding our volunteer activities outside the rec council, to help address other Fox River Grove needs within the village.
